How to Create a Private Product in ProdPad

Discover how to take control of your product visibility with ProdPad’s Private Products. This guide will show you how to create and manage Products that are accessible only to specific users in your account, ensuring confidentiality and giving you full control over who can see and interact with related Ideas, Feedback, and Roadmaps.

What is a Private Product?

Creating a Private Product lets you decide exactly which users can access it. While Products are open and visible to all users by default, Private Products give admins control by:

  • Restricting access to the Private Product and its resources, like Ideas, Feedback, and Initiatives.
  • Ensuring only authorized users can view or edit the Private Product.
  • Updates and notifications related to the Private Product. 

How to Create a Private Product

To create a Private Product, navigate to Roadmaps and click the Add button on the top-right-hand side of the page. From here, click New Product.

Top Tip

Currently, it is not possible to make a Product Line private or make an existing Product private. 

After filling in the Product details, click on the Access field. You’ll see two options in the dropdown: Open and Private. An Open Product is visible to all account users as normal, while a Private Product is only accessible to the users you’ve specifically assigned to it.

When you click Private, a modal will appear letting you know that once a Product is set to Private, it can’t be changed back to Open later. It will also explain that making a Product private limits access to the allowed user list, detaches linked Ideas from other Products, and hides Initiatives from any Published Roadmaps. Users without access to the Private Product cannot view its associated Ideas, Feedback, or Roadmaps, and unauthorized users are automatically removed from those associated resources.

Once you’ve set the Product to private, you can assign users to the Private Product allowed list. To do this, click the Edit button under the Private Product field.

From here, you can grant and revoke users access to the Private Product, or invite a team member to the account and grant them access. Once you’ve finished assigning access to the Private Product, simply click Done.

Once you’ve finished setting up the Private Product, you can add other details like Product Managers (read more about this here) and a Product Display Picture if required. When assigning a Product Manager to a Private Product, only account users invited to the Private Product will appear in the dropdown menu. Reviewers will not be included in the dropdown menu, as they cannot be assigned as a Product Manager. 

When you’re done, simply click Save & Finish to create the Private Product. 

Top Tip

When you create a Private Product, it will contain the following unique UI features:

  • A padlock icon will appear next to the Product name on all pages and menus.
  • The “Show on Portal” option is disabled for Ideas linked to Private Products.

Managing Access to Private Products

Only Admins and assigned Product Managers can modify access settings for a Private Product. To add or remove users, click the ellipsis menu to open the Edit Product slide-out.

From the Edit Product slide-out menu, click Edit in the Users with Access section, then use the Grant Access or Revoke Access buttons next to each name to manage user access to the Private Product. When you’re finished, click Done to save your changes. Keep in mind that the Product creator will always have access, and users cannot remove their own access from a Private Product.

Linking Ideas, Initiatives, and Feedback to Private Products

Linking resources (Ideas, Initiatives, and Feedback) to a Private Product is just as simple as linking them to an Open Product. To make the process as smooth as possible, the below modals will pop up when attempting the following actions:

  • If you link a resource to a Private Product that’s already linked to an Open Product, a modal will appear explaining that the resource will be automatically removed from the Open Product if you continue.
  • If you link a resource to a Private Product, and its owner doesn’t have access to that Private Product, a modal will appear prompting you to either grant them access to the Private Product or remove them from the resource.
  • If you link a resource to a Private Product that is already linked to an open Product, and its owner doesn’t have access to the Private Product, a modal will appear. This will prompt you to unlink the resource from any Open Products and provide the option to either give the resource owner access to the Private Product or remove them from the resource entirely.

The following restrictions apply when linking resources to a Private Product: 

  • If you move an Initiative from an Open Product to a Private Product, any linked Ideas on the Initiative will also be removed. 
  • Feedback not linked to a Private Product will remain visible, even if it’s connected to an Idea associated with a Private Product.
  • Only users with access to a Private Product can see its resources, ensuring that the privacy settings of the Private Product take priority. This keeps its content secure and restricted to authorized users.
