Ideas and Feedback Dropbox

If you're on the go and need to quickly capture an idea or piece of feedback, you can send it straight into ProdPad via email using the Dropbox feature.

Each ProdPad account comes with two unique Dropbox email addresses:

Ideas: idea+your-company-name@prodpad.com
Feedback: feedback+your-company-name@prodpad.com

You can find these in Account Settings → Company Info. If you're unsure what they are, ask your account Admin or contact support.

Who can submit what?

Ideas must be sent from an email address linked to a ProdPad user.

Feedback can be sent by anyone, even if they don't have a ProdPad account.

How to submit an Idea or Feedback

Send an email to the appropriate Dropbox address. It can be added in the To, CC, or BCC field.

Add the Idea or Feedback in the body of the email, not the subject line.

Important notes for Ideas

When submitting an Idea, you must send it from the same email address you use for your ProdPad account.

If the sending email address doesn't match a ProdPad user, the Idea won't be added because ProdPad won't be able to identify the sender as an account user.

Important notes for Feedback

Feedback can be added by anyone using the Feedback Dropbox address, even if the sender isn't a ProdPad user.

In the Feedback attributes section, the Added by field will show the user whose email address matches the From address, as long as they have access to the ProdPad account.

If no match is found, the Added by field will default to the Admin who originally set up the ProdPad account.

The Customer attached to the Feedback will be the person who sent the email. If an existing customer already matches that email address, ProdPad will use that record. If no match is found, a new customer will be created.

Submitting forwarded emails

If Feedback is forwarded to the Dropbox address, ProdPad will try to extract the original sender's email address and use that for the customer record.

If the original email address can't be found, ProdPad will use the email address of the person who forwarded the message instead.

If you want ProdPad to pick up the original contact details, make sure the forwarded content is left intact under:

------------Forwarded Message-----------

ProdPad will look for the original sender's name and email address in the From: fields and create or match a customer record based on that information.

Character limit

Emails sent to the Dropbox are limited to 1024 characters, so keep your submission brief.

You can always add more detail later in ProdPad using fields like Description, Business Case, User Stories, or Functional Specs.

What happens next?

Once your email is received, ProdPad will process the Idea or Feedback and add it under the correct person's name.

This can take up to 5 minutes.

For Ideas and Feedback submitted this way, ProdPad will send a confirmation email to the sender to confirm that the information was received and captured.

Depending on the situation, the sender may receive:

Idea confirmation email
Idea submission failed email (sent to Admin)
Idea submission failed email (sent to sender)
Feedback confirmation email

Managing feedback confirmation emails

If you don't want confirmation emails to be sent when Feedback is submitted, you can turn them off in Account Settings → Configuration.

Use the Dropbox feature for quick capture, then add more detail later in ProdPad if needed.

Feedback confirmation email

Create a forwarding rule from your company email to dropbox 

You can follow the below steps if you'd like to set up a forwarding rule in your email client to send ideas and feedback into ProdPad:

  1. In your email client, create an inbox that your customers will send their feedback or ideas to (i.e. feedback@example.com).
  2. Set up the forwarding email to your ProdPad dropbox email (i.e. feedback+[youraccountname]@prodpad.com). You can find this email address by going to Account Settings > Company Info and checking under Dropboxes.
  3. Create a filter rule so that when emails are sent to the feedback/idea inbox, the rule will forward those emails to your ProdPad dropbox email. This will then add the emails to your account as feedback or ideas depending on the dropbox email you have used when creating the forwarding rule. 

Important!

These steps are based on setting up a forwarding rule in the settings for Gmail. Some of the methods in other email clients may differ.
